Just so we have it together on this discussion page, here is a quick summary so far:
1. Here is what John Dingler suggested via email a few days ago. I think these are good things to talk about:
I won't be at the retreat, but could join in via phone or skype depending on the agenda and availability of a phone or internet connection. One agenda item should be the chapter's 2009 budget. Another could be the format of the monthly meetings. Do they meet the needs of the casual attendee in terms of presenting our campaigns in a way that excites them? How can we separate board business from meeting activities (or should we)? How much time should we allot for Charlie and Gus? ...

Chapter Retreat agenda ideas:
Evaluate current campaigns and priorities and next steps for 2009. I'd like for the chapter to rank our priorities and take a quick inventory of what we've currently got underway and where we want to go.
Chapter operations: brief overview of executive responsibilities and priorities to make sure we're all balanced and focused on our 2009 workplan.
Calendar and 2009 workplan: This is critical and will help make events and campaigns run smoothly for 2009. BRING YOUR CALENDARS!!! Prepare to take the lead on at least one event or program!
I think we should open this up to our core members even if they are not execs. People like Drew, EJ or Matt Spencer (Matt really wants to get more involved). If it’s alright, I’d like to bring Cristen along and would welcome other folks bringing their significant others as well. If I don’t get any recommendations on the agenda, I will set it myself and you’ll be stuck with what I previously sent around with the addition of some policy discussion from Gus. Speak on the forum or forever hold your peace on the agenda. PLEASE REMEMBER TO BRING YOUR CALENDARS…WE WILL BE PLANNING AND DIVIDING UP RESPONSIBILITIES FOR 2009!

Not sure if the agenda has been set yet, but I would definitely appreciate just a little bit of time to give a short presentation on the statewide policy initiatives and associated volunteer opps.
4. Jocelyn's suggestions:
Food: So if we want to potluck for meals, can we semi-organize it?
For example: salads, bread, drinks, main dishes for dinners? We could
even do tacos or something like that, which is easy to have people
bring separate components.
Lunches: Sandwhiches: bread, cheese, meat, condiments, chips, fruit?
Breakfasts: we could do scrambles or pancakes with eggs and a meat product.
That way we could each bring a component for each meal?

Agenda Items:
I've got the Ban the Bag t-shirts and they turned out really well. Do we need to get them out to the different shops?
I'm on the waiting list for PO Box in NE Portland, so we'll have to come up with a plan for getting mail from it. All mail is supposed to start going to the new PO Box. I say we do something like each exec. is assigned a month to collect the mail (that would come up to two months a year to collect the mail for the chapter). Thoughts?
I'm currently replanning Pint Night and need to know if there's any significant dates that you all WON'T be able to make for January/February?
The ball is rollin' for the TGR film. I'm looking at February/March dates now with different venues!
I'd like to talk about the national campaign, and my involvement with them and figure out some actual action for this chapter. Also, I want to forewarn that I'll be stepping down as chair this spring. Not because I don't want to do it, but I'm working on publishing a few pieces on plastics, and can't be, as a journalist, 'Chapter Chair'. I don't plan for my role to be diminished in anyway, shape or form, and am happy to be the 'symbolic chair', but me being actual chair represents a conflict of interest.
Besides the items I suggested before (see below), I suggest that you talk about OCN membership, the law clerk position, and monthly meetings. I support paying the OCN dues for 2009 ($200) even though it isn't a Portland Chapter activity per se. However, it is another opportunity for us to support an activity that benefits all the Oregon chapters. With regard to the law clerk position: is it well enough defined, is the pay adequate, can we afford it, and is the term appropriate (i.e., should it include the summer)? Monthly meetings seem to be inefficient, which could be a turn-off to potential members. I do not have any great ideas, but do think that the intro question could be canned and that Gus' and Charlie's presentations could focus on one or two state campaigns and just touch on the rest. I also think that there should be a monthly exec board meeting that precedes the chapter meeting by at least a week (it could even be the in the last week of the previous month).
Good suggestions from all about agenda items. I definitely agree that a) establishing chapter priorities, b) setting calendar of upcoming events, and c) agreeing on exec roles/ resposibilities d) Ban the Bag & statewide campaigns are important topics to discuss.
Also - it looks like I will be under general anastesia for surgury on Fri afternoon for surgury and probably won't be able to attend retreat. But I will be at Chapter meeting on Tues
Stiv - sorry to hear we'll be losing you as Chair. Some big shoes to fill, but you won't be off the hook that easy:)
So who is heading up on Friday night? Saturday morning? Can I ride with someone? I'd like to go Friday night if possible? Since there aren't too many comments on food, do we want to just get stuff at the store when we get there?
